This Privacy Policy explains how Tripshare LLC (“Tripshare”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you use trip-share.com, offsites.do, retreats.do, related domains, our mobile applications, and any connected services (together, the “Service”).

1. Information We Collect

Account and contact information: Name, email address, phone number, login/session information, linked email addresses, verified partner email addresses (such as @fora.travel), and account preferences.
Trip and event information: Trip names, dates, destinations, schedules, notes, activities, lodging preferences, ride requests, room requests, group assignments, invite links, and other information you or your group submit.
Booking and itinerary data: Information contained in travel confirmations, itineraries, hotel rate offers, custom date requests, client itineraries created by travel advisors, and imported booking emails. This may include passenger or guest names, confirmation codes, travel dates, accommodation details, transit details, and related booking metadata.
User-generated content and communications: Messages, comments, notes, reactions, requests, and other content you create or share through trip chats, direct messages, or community cohort channels (such as Founders Circle).
Location-related information: Addresses, venues, airports, hotels, meeting points, and other locations you provide or search for. If the mobile app requests device location, we use it only with your permission and for features you initiate.
Live location sharing: If you turn on "Live" to share your location with your trip group, we collect your device's precise GPS coordinates for as long as sharing is active. We convert that precise location into an approximate landmark or neighborhood name for display; the exact coordinates you shared are never shown to other users. Live sharing is opt-in, automatically stops after one hour, and you can end it early at any time from within the feature.
Usage, device, and diagnostic information: Pages or screens visited, actions taken, device type, browser or app version, log data, crash data, and similar information used to operate and improve the Service.
Cookies and similar technologies: We use cookies, local storage, and similar technologies for authentication, security, preferences, analytics, and product functionality.

2. How We Use Your Information

To provide, maintain, and improve the Service, including trip boards, schedules, stays, rides, flights, chat, community channels, notifications, imports, and related coordination tools.
To parse booking confirmations and organize travel details for you and the trips you choose.
To provide group-rate, travel-advisor, and concierge-style coordination features when you request them.
To communicate with you about your account, invitations, trips, support requests, security notices, product updates, or booking-related requests.
To send transactional notifications, reminders, digests, and trip updates based on your settings.
To protect the security, integrity, and reliability of the Service, including detecting abuse, troubleshooting errors, and enforcing our Terms.
To comply with legal obligations and respond to lawful requests.

3. Sharing Your Information

We do not sell your personal information. We may share your information:

With people on your trip, event, or community channel: Information you post or choose to share may be visible to trip organizers, invited participants, chat members, or cohort members according to the privacy settings and context of the feature.
With service providers: Vendors that help us host, secure, analyze, email, notify, support, and operate the Service may process information on our behalf.
With travel partners: When you request group rates, custom stays, advisor help, or similar services, we may share relevant request details with certified travel advisor partners such as Fora, booking providers such as Booking.com, and hotel brands or properties involved in fulfilling your request.
With schedule and travel data providers: For example, flight schedule lookup may be provided through third-party APIs such as Duffel. trip-share.com does not book or ticket flights through the platform.
With mapping providers, for Live location sharing: When you use "Live," your precise coordinates are sent to a mapping service (Google) solely to determine a landmark or neighborhood name to display to your trip group. We also send a brief internal alert to our team when a member starts sharing Live location, for support and safety monitoring purposes; that alert does not include your precise coordinates.
For legal, safety, or business reasons: We may share information if required by law, to protect rights and safety, to prevent abuse, or in connection with a merger, acquisition, financing, or sale of assets.

4. User-Generated Content and Visibility

The Service is designed for private group coordination and community collaboration, but content you create may be visible to the people and groups you share it with. Please do not post sensitive personal information about yourself or others unless it is necessary for the trip and you have permission to share it. When you use Live location sharing, only your approximate landmark or neighborhood, not your precise coordinates, is visible to other members of the trip you're sharing with.

5. Data Retention and Privacy-First Defaults

To protect member privacy, we generally minimize the retention of granular event coordination data, including chat histories, specific ride or room requests, personal itineraries, and flight details, once an event has concluded and the information is no longer necessary for service delivery, account history, safety, fraud prevention, or legal compliance.

Live location sharing: Live location data automatically expires and is no longer shared with your trip group one hour after you start sharing, or sooner if you end sharing yourself.

Account holders: If you have a registered account, your trip history and coordination details may be retained so you can reference past trips. You may request deletion of specific information or your account. For participants without a registered account, data may be subject to periodic cleanup, and access to specific trip boards may be disabled after a period determined by trip organizers or by Tripshare LLC.

6. Data Security

We use reasonable measures to protect your information from unauthorized access, disclosure, or loss, including encryption and secure access controls. However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. We do not warrant that your information will never be lost, corrupted, or become unavailable, whether due to technical failure, service interruption, our data retention practices described in Section 5, or any other cause, and any transmission or storage of information is at your own risk. As explained in our Terms of Service, you are responsible for keeping your own copies of any trip details, messages, or other content that are important to you.

7. Your Choices

You can update certain account and trip information in the Service.
You can request access, correction, or deletion of your information by contacting us.
You can opt out of non-essential communications at any time.
You can control device permissions, such as location or notifications, through your browser or mobile operating system settings.
You can end Live location sharing at any time; it also stops automatically after one hour.

8. Children's Privacy

The Service is intended for use by adults and is not directed to children. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe we have collected information from a child, please contact us at [email protected] so we can take appropriate action.

9. International Use

Tripshare LLC is based in the United States. If you access the Service from outside the United States, your information may be processed in the United States and other locations where we or our providers operate.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on our website. Our purging policy applies consistently across all updates.

11. Trademarks

Tripshare LLC may reference third-party trademarks (such as Fora, Booking.com, Expedia, Hilton, Marriott, Hyatt, IHG, and other hotel or travel brands) for informational purposes. These trademarks are the property of their respective owners and their use does not imply any affiliation, endorsement, or sponsorship.
